How to Print an Outlook Calendar (Classic Outlook, New Outlook, Web and Mac)
Last Updated:Quick answer: In classic Outlook for Windows, open Calendar, go to File > Print, pick a print style (Daily, Weekly Agenda, Monthly and so on), set the dates under Print Options, and click Print. In the new Outlook for Windows and Outlook on the web, open Calendar, click Print (or press Ctrl+P), choose the calendar, view and time range in the preview, then click Print. On a Mac, open Calendar and use File > Print.
The catch is that the four versions of Outlook do not print the same way. Classic Outlook still has the full set of print styles and page setup controls. The new Outlook and the web version offer a simpler preview with four views and a time range, and no hide-private option is documented for them. If you only need a file, skip the paper and use Microsoft Print to PDF. Printing emails instead? See our guide on how to print an email from Gmail or Outlook.

How do you print your calendar in classic Outlook for Windows?
Open Calendar, choose File > Print, pick a print style under Settings, set your dates in Print Options, and click Print. This applies to Outlook for Microsoft 365, Outlook 2024 and Outlook 2021.
- Click Calendar in the navigation bar.
- Click inside the calendar you want to print so it is the active one.
- Go to File > Print.
- Under Settings, choose a style. The preview on the right updates as you click.
- Click Print Options to pick the printer, the calendar, the Print Range (Start and End dates), the number of copies and page setup.
- Click Print.
The styles you can choose from:
- Daily Style: one day per page, laid out by hour.
- Weekly Agenda Style: one week per page, with full appointment titles.
- Weekly Calendar Style: one week laid out as a time grid.
- Monthly Style: a month grid.
- Tri-fold Style: three panels on one page, by default a day, a task list and a week.
- Calendar Details Style: a list of appointments with their full details, including body text and meeting links.
How do you print a calendar in the new Outlook for Windows and Outlook on the web?
Open Calendar, click Print on the Home tab (or press Ctrl+P), pick the calendar, view and time range in the preview, then click Print twice. There are no print styles, only views.
- Open Calendar from the navigation pane.
- On the Home tab, click Print. On the web, the Print button sits at the top of the calendar, and the preview opens in a new browser tab.
- Under Calendar, choose which calendar to print.
- Under View, choose Day, Work week, Week or Month.
- Set the time range, then choose whether to include a mini calendar at the top or a detailed agenda.
- Click Print. In the system print dialog, pick your printer and click Print again.
What is missing compared with classic Outlook: the Tri-fold and Calendar Details styles, the hide-private checkbox and the Page Setup dialog. Microsoft rolled out some extra event-printing options in 2026 (such as how many attendees to list), but they apply to single events, not calendar layouts.
How do you print an Outlook calendar on a Mac?
In Outlook for Mac, open Calendar, select the calendars you want, then choose File > Print, set the start and end dates and layout, and click Print.
- Click Calendar and tick the calendars you want in the calendar list.
- Choose File > Print from the menu bar.
- Click Show Details if the dialog is collapsed.
- Set the start and end dates, the style and whether to include tasks.
- Click Print, or click PDF to save a file instead.
Microsoft's own Mac documentation for calendar printing is thin, and the options differ between the legacy and new Outlook for Mac. If you do not see a print command in Calendar, print from Outlook on the web in Safari or Chrome. The steps there are the same as in the section above.
How do you print a monthly calendar or several months from Outlook?
Choose the Month view (new Outlook and web) or Monthly Style (classic Outlook), then set a date range that covers every month you want. Outlook prints each month on its own page.
Classic Outlook
- Go to File > Print and select Monthly Style.
- Click Print Options.
- Under Print Range, set Start to the first day of the first month and End to the last day of the last month.
- Click Print.
If the first or last month comes out as a partial grid, open Page Setup and look for the option to print exactly one month per page.
New Outlook and Outlook on the web
Set View to Month and widen the time range in the preview. Users report that a month from the new Outlook can split across two pages, while classic Outlook fits one on a landscape page. Check the preview first.

How do you print a blank calendar from Outlook?
Create a new, empty calendar, select it, and print that one. Microsoft documents this method for classic Outlook. In other versions, hide your calendars before printing.
Classic Outlook (Microsoft's method)
- In Calendar, click Add Calendar (or Open Calendar) and choose Create New Blank Calendar.
- Type a name in the Name box of the Create New Folder dialog and click OK.
- Under My Calendars, tick the new calendar and click inside it to make it active.
- Go to File > Print and choose a style, for example Monthly Style.
- If your own appointments appear in the preview, click Print Options and pick the blank calendar under Print this calendar.
- Set Start and End under Print Range, then click Print.
Mac, new Outlook and the web
On a Mac, untick every calendar so no events show, then use File > Print and set your dates. In the new Outlook or on the web, add a new empty calendar from the calendar list, show only that one, and print it.
How do you print Outlook calendar details or an agenda list?
In classic Outlook, use Calendar Details Style or Weekly Agenda Style. In the new Outlook and on the web, choose the detailed agenda option in the print preview.
- Calendar Details Style prints each appointment as a list entry with its full notes and meeting links. It is the closest thing to a printed agenda.
- Weekly Agenda Style keeps the week format but prints full appointment titles, so nothing gets cut off.
- In the new Outlook and Outlook on the web, select the agenda option instead of the mini calendar. It adds the agenda details that are part of each event.
Calendar Details can run long, so set a short date range first. Printing at home? Turning on double-sided printing halves the paper.
How do you print an Outlook calendar to PDF?
Pick Microsoft Print to PDF as the printer on Windows, or click PDF in the print dialog on a Mac. You get a file instead of paper.
- Classic Outlook: on the File > Print screen, choose Microsoft Print to PDF under Printer, click Print and name the file.
- New Outlook: after the preview, pick Microsoft Print to PDF in the print dialog.
- Outlook on the web: in the browser's print dialog, choose Save as PDF or Microsoft Print to PDF as the destination.
- Mac: click PDF at the bottom of the print dialog, then Save as PDF.
If Microsoft Print to PDF is missing from the list, our Microsoft Print to PDF guide shows how to turn it back on. To print the PDF later, see how to print a PDF.
How do you print an Outlook calendar in landscape or fit it on one page?
In classic Outlook, set the orientation in Print Options > Page Setup. In the new Outlook, web and Mac, set landscape in the system or browser print dialog.
Classic Outlook
- Go to File > Print > Print Options.
- Click Page Setup and open the Paper tab.
- Choose Landscape under orientation and click OK.
- If a month still spills over, reduce the fonts on the Format tab or shrink the margins.
New Outlook, web and Mac
After the Outlook preview, look for Layout or Orientation in the print dialog and pick Landscape. In Chrome or Edge, More settings also has a scale option that can pull a month onto one page. For more detail by app and printer, see our guide on how to print in landscape.
How do you hide private appointments or print category colors?
In classic Outlook, tick Hide details of private appointments in Print Options. For colors, clear Print using gray shading in Page Setup and print to a color printer set to color.
Hide private appointments
- Go to File > Print > Print Options.
- Tick Hide details of private appointments.
- Click Print. Private items print without their details.
Microsoft does not document this option for the new Outlook, the web or the Mac. Check the preview, and if a private item shows, print a range without it or use classic Outlook.
Print category colors
- Go to File > Print and click Print Options.
- Under Print style, click Page Setup.
- Under Shading, clear Print using gray shading. Repeat for each style you use, since the setting is saved per style.
- Make sure your printer is not set to grayscale in its own preferences.
On the web, if colors print as white boxes, look for a background graphics option under More settings in the browser's print dialog. On a Mac, check that the black-and-white option in the print dialog is off. If colors still come out gray, see how to print in color and grayscale vs monochrome settings. A low or clogged color cartridge can also turn colors into stripes. You can find the right cartridge on our find ink by printer page.
How do you print a shared calendar, several calendars, or a full year?
Select the shared calendar before printing, or pick it under Print this calendar. Classic Outlook prints one calendar at a time. Outlook has no yearly style, so print 12 monthly pages instead.
Shared calendars
Open the shared calendar so it appears in your folder list, click inside it, and print as usual. In classic Outlook you can also switch to it from the Print this calendar drop-down in Print Options.
Several calendars at once
- Classic Outlook: only one calendar per printout, even in overlay view. Print each one separately.
- Outlook on the web: all calendars you have selected print together by default. Choose one under Calendar in the preview to narrow it.
- Mac: tick the calendars you want in the calendar list before File > Print.
A full year
None of the current versions has a one-page year layout. The practical options:
- Print Monthly Style (or the Month view) with a January 1 to December 31 range. You get 12 pages.
- For a single-page wall year, use a free yearly calendar template in Word or Excel. It will not include your Outlook events, so add key dates by hand.
A year of monthly pages uses a fair amount of ink. Draft mode cuts that for a working copy. Our compatible vs remanufactured ink guide explains a cheaper way to keep the cartridges full. Castle Ink orders placed by 4 PM ET on a weekday ship the same day.
Frequently Asked Questions
Why is the Print button missing from my Outlook calendar?
You may be in the new Outlook, where Print sits on the Home tab of Calendar rather than under File. Press Ctrl+P from Calendar view instead. On a Mac without a calendar print command, print from Outlook on the web in your browser.
Why do my appointment titles get cut off in the printed month?
A month grid has little room per day, so long titles are truncated. Switch to Weekly Agenda Style or Calendar Details Style in classic Outlook, or the Week view with the agenda option in the new Outlook, to see full titles.
Can I switch back to classic Outlook to get more print options?
If classic Outlook is installed on your PC, you can open it alongside or instead of the new Outlook and print from there. It is the only version with the Tri-fold and Calendar Details styles, the hide-private checkbox and full Page Setup control.
Why does my Outlook calendar print to the wrong printer?
Outlook uses your system default printer unless you pick another one in the print dialog. Choose the right printer before you click Print, or set it as the default in Windows or macOS so every app uses it. Our guide on how to change your default printer walks through both.
Need help with the printer itself? Our default printer guide and the printer troubleshooting center cover the most common problems.
