Printer Is in an Error State? What It Means and How to Fix It

"Printer is in an error state" is one of the least helpful messages Windows produces. It doesn't tell you what the error is, where it came from, or whether the problem is the printer, the cable, or Windows itself. The good news is that it almost always resolves in a few minutes once you know what the message actually represents. This guide is part of our full Printer Troubleshooting Center.
The Short Answer
"Error state" is not a specific fault. It's Windows telling you that it asked your printer for a status update and got back either an error flag or no answer at all. Nine times out of ten the trigger is physical and sitting right on the printer: an open cover, a jam you can't see, an empty tray, or a cartridge the printer has decided it can't use. Check the printer first, clear the print queue second, restart the Print Spooler third. If it survives all three, the cause is the port or the driver, and the later sections cover both.
What "Printer Is in an Error State" Actually Means
Windows doesn't monitor your printer directly. It asks the printer's driver, and the driver asks the printer over whatever connection you're using. If the printer replies with any condition it considers blocking, or if it doesn't reply at all, Windows collapses every one of those possibilities into the same generic phrase.
That's why the message is so vague, and it's also why the fix order below matters. You're not troubleshooting one problem. You're eliminating layers, from the printer outward:
- The printer itself — a cover, a jam, paper, a cartridge, a full waste container
- The connection — a USB cable, a dropped Wi-Fi link, or an IP address that changed
- The queue — one failed job blocking everything behind it
- The software — the Print Spooler service, the port configuration, or the driver
1. Check the Printer Before You Touch Windows
Walk over to the printer and look at it. Most of the time the answer is on the control panel or in the status lights, and no amount of clicking in Windows will clear it.
- Covers and doors. Front cover, scanner lid, rear duplex door, and the toner or cartridge access panel all have sensors. A door that's closed but not latched reads as open.
- Paper. An empty tray, a tray that isn't pushed fully home, or paper loaded past the guides will all stop the printer. So will the wrong paper size for the job you sent.
- A jam you can't see. Scraps left behind after a previous jam are a common culprit. Open every access point, including the rear and the duplexer, and check the output path.
- Cartridges. A cartridge that isn't fully clicked in, is genuinely empty, or is being rejected by the printer will hold the whole machine. On laser printers, also check the waste toner container and any drum end-of-life warning.

Clear whatever you find, then try printing again before moving on. If the printer was reporting a real condition, the error state clears on its own the moment the condition does.
2. Make Sure Windows Can Actually Reach It
If the printer looks perfectly happy, the next question is whether Windows can still talk to it. A printer that has quietly fallen off the network produces the identical message.
On USB: reseat the cable at both ends, and try a different port on the computer. Skip USB hubs and front-panel ports for this test and go straight into the back of the machine. USB printer cables do fail, usually at the connector, and a marginal cable will work intermittently in a way that looks exactly like a software fault.
On Wi-Fi or Ethernet: print a network configuration page from the printer's own menu and compare the IP address on it to the one Windows is using. Open Settings > Bluetooth & devices > Printers & scanners, click your printer, then Printer properties > Ports, and look at the port address. If those two numbers don't match, that's your problem — the router handed the printer a new address and Windows is still calling the old one.
The permanent fix is to give the printer a fixed address, either as a static IP in the printer's network settings or as a DHCP reservation in your router. Otherwise this will come back every few weeks.
3. Clear the Print Queue
A single job that failed can sit at the front of the queue and block everything sent after it, from every device on the network. Windows often reports that backlog as an error state.
Open Settings > Bluetooth & devices > Printers & scanners, select your printer, choose Open print queue, and cancel every job in the list — not just the one at the top. Then send a single test page.
4. Restart the Print Spooler (and Empty It)
The Print Spooler is the Windows service that manages everything heading to your printer. When it hangs, a perfectly healthy printer reports as being in an error state.
- Press Windows + R, type services.msc, and press Enter.
- Find Print Spooler in the list, right-click it, and choose Restart.
- Try printing again.
If it comes straight back, the spooler's job folder is probably holding a corrupted file. Right-click Print Spooler and choose Stop, then open C:\Windows\System32\spool\PRINTERS and delete everything inside that folder — the folder itself stays, only the contents go. Then start the Print Spooler again. You'll need administrator rights, and any queued jobs will be discarded, so resend them afterward.
5. Uncheck "Use Printer Offline"
Windows has a manual offline mode that's easy to trip by accident, and once it's set, the printer reports errors no matter how healthy it is.
Open the print queue for your printer, click Printer in the menu bar, and make sure Use Printer Offline is not checked. While you're in there, confirm Pause Printing is off too. Then set the printer as your default, so Windows stops trying to route jobs to a device that isn't there — and turn off "Let Windows manage my default printer" in Printers & scanners if it keeps changing on you.
6. Turn Off SNMP Status on the Printer's Port
This is the fix most guides skip, and it's the one that resolves stubborn error states on network printers that pass every other check.
Windows uses SNMP to poll network printers for status. If the printer's SNMP implementation is dated, or your network blocks the traffic, the poll fails and Windows interprets the silence as an error — even while printing works fine.
- Go to Settings > Bluetooth & devices > Printers & scanners and click your printer.
- Choose Printer properties, then the Ports tab.
- Select the port your printer is using and click Configure Port.
- Uncheck SNMP Status Enabled and click OK.
You lose remote ink-level reporting in Windows, which is a small price for a printer that stops flagging phantom errors. If that doesn't do it, go back to the Ports tab and clear Enable bidirectional support as well.
7. Reinstall the Printer and the Real Driver
If the error state persists, the driver or the printer's Windows installation is corrupted. Removing and re-adding the printer forces a clean connection.
In Printers & scanners, click your printer and choose Remove. Then click Add device and let Windows find it again. If it reinstalls and fails the same way, download the full driver package from HP, Canon, Epson or Brother directly, for your exact model number, and install that instead of the generic driver Windows supplies. The manufacturer package includes the status monitor and port software that the generic driver leaves out, and that difference is frequently the whole problem.
8. Rule Out a Recent Windows Update
Microsoft has shipped more than one update that broke printing for specific driver types. If the error state appeared the day after an update and nothing else changed, that's a strong lead.
Check Settings > Windows Update > Update history and compare the install dates against when the trouble started. You can uninstall a recent quality update from that same screen. Also check for a newer update — when Microsoft breaks printing, the fix usually ships within a few weeks.
If It Started Right After You Changed Cartridges
This one deserves its own section because it's easy to misdiagnose. If the error state appeared immediately after installing new ink or toner, the printer is rejecting the cartridge rather than reporting a mechanical fault.
Start with the mundane explanations, because they're the common ones: a protective seal or tape left in place, a cartridge not fully seated, or dirty chip contacts. Pull the cartridge, remove any remaining tape, wipe the copper contacts with a dry lint-free cloth, and reseat it until it clicks.
If it's still rejected, check whether the printer received a firmware update recently. Some manufacturers — HP most visibly, through what it calls dynamic security — push firmware that refuses cartridges with non-original chips, and a printer in that state can present as a general error rather than a clear cartridge message. If that's what happened, you can usually dismiss the prompt and continue, and you can turn off automatic firmware updates in the printer's settings to stop it recurring. What About Mac?
macOS doesn't use the phrase "error state." The same underlying conditions show up as Paused, Printer offline, or "The printer is not responding." The fix order is the same — check the printer, then the connection, then the queue. Open System Settings > Printers & Scanners, select the printer, clear any job showing an error, and use Resume if it's paused. If it won't come back, remove the printer with the minus button and add it again.
