How to Install an Ink Cartridge in an Epson Printer (Step-by-Step)

Epson is fussier about cartridge installation than any other major brand. The steps are simple, but there are two or three that people skip — and skipping them is the single most common reason a brand-new cartridge comes up as "cannot recognize ink cartridge" on a printer that was working fine an hour ago. Here is the whole process in order, plus what to do when the printer refuses the cartridge anyway.

The Short Answer

Leave the printer switched on, wait for the carriage to stop moving, shake the new cartridge gently, peel the yellow or clear tape off the air vent, push the cartridge down until it clicks, and close the cover so the printer can run its ink-charging cycle. Never touch the green chip or the ink port.

Step by Step: Replacing an Epson Ink Cartridge

1. Leave the printer ON. This is the step people get wrong first. The carriage only slides to the replacement position when the printer has power. If you switch it off, the carriage parks where you cannot reach it.
2. Open the cover and wait. Lift the scanner unit or cartridge cover. The carriage will move on its own — wait until it stops completely before touching anything.
3. Press the release tab and lift the old cartridge out. Squeeze or press the tab on the cartridge, then lift straight up. Do not force it sideways.
4. Shake the new cartridge gently. Four or five gentle shakes, horizontally. This redistributes pigment that has settled in storage.
5. Peel the tape off the air vent. Epson puts a yellow or clear strip over a vent on the top of the cartridge. If it stays on, the cartridge cannot draw air, ink will not flow, and the printer may report it as empty or unrecognised. Remove only the tape marked for removal — the film over the ink port stays where it is on most models.
6. Drop it in and press until it clicks. An audible click. A cartridge that is ninety per cent seated reads as missing.
7. Close the cover and let it charge. The printer will run an ink-charging cycle that takes a few minutes and makes a fair amount of noise. Do not open the cover or power it off while this runs.
8. Print a nozzle check. Confirms every colour is flowing before you print anything that matters.

Why Epson Says "Cannot Recognize Ink Cartridge"

Nine times out of ten it is one of four things, in this order of likelihood:

• The vent tape is still on. Check the top of the cartridge again.
• It is not fully seated. Take it out and re-seat it until you hear the click.
• The contacts are dirty. Wipe the copper contacts with a dry, lint-free cloth. No alcohol, no water, no paper towel.
• It is the wrong cartridge number. Epson families look nearly identical — 220 and 220XL fit the same printers, but 212 and 220 do not fit each other.

If it still will not read after all four, power the printer off, unplug it from the wall for sixty seconds, plug it back in and try once more. That clears the internal state that sometimes latches onto a bad read.

The Green Chip: Don't Touch It

Every Epson cartridge carries a small green circuit board. It tells the printer which cartridge is installed and roughly how much ink is left. A fingerprint on it, static from a carpeted room, or a wipe with a damp cloth can all stop it communicating — and a cartridge with a dead chip is scrap. Handle cartridges by the plastic body only.
