Why Is My Printer Offline? 9 Fixes That Actually Work (Windows, Mac & Wi-Fi)

"Printer offline" almost never means your printer is actually offline. Nine times out of ten it means Windows or macOS lost track of the printer's IP address — usually after a router reboot, a Windows update, or the printer dozing into sleep mode. Here's the fix order that resolves the most issues in the least time.
Fix 1 — The 30-Second Reset
Power-cycle the printer: turn it off, unplug for 30 seconds, plug it back in, turn it back on. Eight out of ten "offline" errors clear right here. While you're at it, restart your computer too — sometimes the print spooler service is the actual problem, not the printer.
Fix 2 — Uncheck "Use Printer Offline" in Windows
On Windows: Settings → Bluetooth & devices → Printers & scanners → click your printer → Open print queue → Printer menu → uncheck Use Printer Offline. Yes, Windows really does silently check this box sometimes after a sleep cycle or update. This single fix resolves about 30% of "offline" reports.
Fix 3 — Reconnect to Wi-Fi
On the printer's front panel, re-run wireless setup. Your router may have changed bands (2.4 GHz vs 5 GHz) — most home printers are 2.4 GHz only, so if your router auto-merged bands during a recent update, the printer can be left orphaned.
Fix 4 — Set a Static IP for the Printer
This is the permanent fix. Log into your router's admin page, find your printer's MAC address (printed on a sticker on the back), and reserve its IP address. No more "offline after the router rebooted" mornings. Every modern router supports DHCP reservations.
Fix 5 — Reinstall the Driver
Especially if you've updated Windows or upgraded macOS recently. Use the manufacturer's installer (HP Smart, Canon IJ Printer Utility, Brother iPrint, Epson Connect) — not the generic Windows driver. The manufacturer driver includes the network discovery code that the generic one lacks.
Fix 6 — Check the Print Spooler Service
On Windows, run services.msc, find Print Spooler, right-click and restart it. On Mac, open System Settings → Printers & Scanners, right-click in the printer list, and choose "Reset printing system."
Fix 7 — Empty the Print Queue
A stuck job in front of yours will park your printer in a zombie state where it shows offline even though it's perfectly fine. Open the print queue and cancel every pending job, including "phantom" jobs that show 0 pages.
Fix 8 — Update Firmware
